Assessment
Tips:
If you are applying via video/audio file, here are some helpful starting tips:
- State which question you are responding to and do not digress too much from what’s being asked of you. We will allow a maximum of 5 minutes per 500 words, (for example a 200-word answer would be a maximum 2-minute video/audio response).
- Prepare your answers in advance of recording. Use notes or cue cards to help you while recording your video/audio responses if necessary.
- Don’t feel the need to be too formal. Be yourself in your application.
- Record your file in a quiet space, avoid somewhere where there is background noise e.g., outside, a café
- Only include other people in your recording if they have given you their consent for this.
- Watch/listen to your recording again to make sure that you have answered all the questions (refer to the scheme guidelines/application template for the questions).
- Before submitting, ensure the video/audio quality is clear, so that we can hear what you are saying.
- Please use either MP4/MOV for video files and MP3/WMA/M4A for audio files
- Please ensure you use a relevant title for your video/audio file such as your application reference number.
If you submit both a written and video/audio response for a question, only the written response will be assessed.
Your video/audio file can be recorded in either the Welsh, English or British Sign Language, however it should only be delivered in one language for its entirety.
If you’re unsure about any of this, then please contact our Grants team – grants@arts.wales or telephone 03301 242733 and we will get back to you as soon as we can.
Please note that we are unable to provide technical support for the creation, editing and uploading of video/audio files.
Process:
When you start a new application on our Funding Portal, please select Video/Audio on the Application Type tab. This will remove the narrative questions and provide you with a proposal tab for your video/audio file. We still need the data fields completing and a budget uploaded on our template.
We need all applicants to submit a copy of their video/audio file. We will allow a maximum of 5 minutes per 500 words.
You will need to provide us with a download link to the file at the time of submission. We cannot accept any files after deadlines as we need to treat all applicants, whether written or video/audio, equitably. Please ensure you check the link functionality before submitting.
Please use one of the following programmes:
- WeTransfer
- Google Drive
- iCloud Drive
- Dropbox
**Please note that you are agreeing to put your content in the public domain by providing a public link for us to download. Please ensure this link is live until you have received a decision on your application**
Please do not attempt to email your video/audio file to us.
If you’re unsure about any of this, then please contact our Grants team – grants@arts.wales or telephone 03301 242733 and we will get back to you as soon as we can.

The Assessment
Anyone involved in the assessment process will have access to your video/audio application and the transcript.
We do not assess the production quality of your video submission.
We also generate a transcript of the video/audio submission so that we can populate any information we require for reporting, such as a project description, or if we need to translate the content.
Any questions?
If you have any questions or need any support with submitting a video/audio file, please email grants@arts.wales or telephone 03301 242733 and we will get back to you as soon as we can.
Please note that this is the first step in trialling video/audio applications and the process may change as we continue to learn and evaluate.
